Advancement & Board Relations Associate
The Delaware Art Museum is seeking an Advancement & Board Relations Associate who is the primary administrative liaison to the Museum’s Board of Trustees while providing high-level administrative support to the Executive Director. This position also furthers the Museum’s fundraising and engagement goals through support of advancement operations, donor stewardship, and special initiatives. Reporting directly to the Executive Director, the Associate builds and maintains strong working relationships with Board members, staff, donors, volunteers, and community partners, helping to advance the Museum’s mission and organizational priorities through effective coordination, relationship management, and strategic administrative support.
This is a 20-25 hour per week nonexempt position reporting to the Executive Director. The position is primarily onsite.
Key Responsibilities
Executive Assistant: (35% of time): Supports Executive Director with a range of administrative tasks, including calendar management, correspondence, meeting preparation, donor gifts and special cultivation, travel, and acting as a trusted relationship management advisor.
Advancement and Campaign Support (35% of time): Works with Executive Director and Director of Advancement on fundraising-related tasks and projects, including gift tracking, record keeping and timely acknowledgement letters, donor research and reports, assisting in the planning and implementation of fundraising events and donor travel, and supporting administrative management of the Endowment Campaign.
Board Relations (20% of time): Manages all administrative aspects of the Board of Trustees, including scheduling meetings, preparing and sending out meeting materials, attending and taking minutes at Board and committee meetings, and keeping Board-related materials (e.g. ethics and confidentiality statements, Board handbook) in order and up to date.
Meeting Support (10% of time): Schedules and plans or assists with planning for staff, leadership, committee, campaign, and other advancement meetings. Assists with catering, internal scheduling and logistics, and agenda. Leads the planning for Annual Member Meeting and the preparation, coordination and presentation of PowerPoints for various meetings including the monthly all-staff meeting.
Qualifications
- Bachelor’s degree preferred and 2-4 years of experience in an administrative role, preferably within a nonprofit
- Commitment and enthusiasm to relationship building and donor stewardship
- Experience working with nonprofit board members and volunteers
- Experience working with high level donors
- Skilled in MS Windows and MS Office products including Teams, Outlook, and data management
- Excellent organizational skills including effective time management, ability to set and fulfill priorities, and demonstrated ability to work effectively in a fast-paced environment
- Superb communication, writing, and editing skills
- Strong interpersonal and problem-solving skills
- Highly motivated and able to work both independently and collaboratively as part of a team

Compensation and Benefits
Our pay is $22/hr. Employees are eligible for a 403(b) plan, museum membership, employee discounts and free parking.
